AI Consultant for Small Business
If you do decide to pay for help, this is what a sensible first engagement looks like, what to put in the contract and how to tell advice from a sales pitch.
Short answer
A good AI consultant for a small business delivers a written map of one process, a working pilot in accounts you own and a handover document, usually over a few weeks. Judge the quote against your own time: a 6-hour weekly saving at EUR 20 an hour is EUR 120 a week, so a EUR 1,600 project pays back in about 13 weeks.
What does a sensible first engagement look like?
It should run in three short phases, each ending with something you can read or use, and none of them should require you to commit to the next. If a proposal cannot be cut into stages like these, ask why.
- Map. The consultant sits with you or your team, writes down one process step by step, times each step and lists where mistakes happen. You receive a document. At this stage nothing has been built.
- Pilot. A working version of the smallest useful piece, running in accounts you own, tested with real examples including awkward ones. A person approves its output.
- Handover. A one-page description of each workflow: purpose, owner, accounts, what it does when it fails and how to turn it off. Ideally a short walkthrough for your team.
A decision point sits between each phase. After the map, you can stop and still own a useful document. After the pilot, you can see actual results before you pay to scale.
What does it cost, and how do you judge the price?
Compare the quote with the time it should give back, not with other quotes. The arithmetic below is illustrative. The hourly rate is invented for the example, and it is neither a market quote nor our price.
- Scope: 20 hours of consulting at an illustrative EUR 80 an hour is EUR 1,600.
- The process takes 8 hours a week now. After the pilot it takes 2 hours of checking. Saving: 6 hours a week.
- At EUR 20 an hour of staff time, 6 hours is EUR 120 a week.
- Payback: EUR 1,600 / EUR 120 = about 13 weeks.
Add the tool. Zapier's Professional plan, checked on its pricing page in November 2026, starts at USD 19.99 a month billed annually, which is about EUR 240 a year. That is small beside the project fee, which is why you should insist on seeing it as its own line.
If the payback is longer than about six months, either the project is too big for the process or the process is too small for a project. Do the cheaper version first.
Who earns what: the independence question
Ask every consultant, including us, whether they earn commissions, referral fees or reseller margins from any tool they recommend. That is a normal way to earn money, and you should still know about it. An adviser paid by one vendor will find that vendor suits you remarkably often.
Ask also whether they will build in accounts you own. If the workflow lives in the consultant's account, you cannot leave without rebuilding it.
What to put in writing
A short statement of work protects both sides. It should state:
- Scope. The one process, the start trigger and the end result.
- Out of scope. What is not included, named explicitly.
- Deliverables. The map, the pilot, the handover document.
- Acceptance test. How you will both know it works, for example 30 real examples handled correctly with no wrong sends.
- Ownership. Accounts, logins, the workflow and its documentation belong to you.
- Data. A data processing agreement where personal data is involved. GDPR Article 28 says a processor must act only on your documented instructions, keep staff bound by confidentiality, apply security measures and delete or return data when the work ends.
- Changes. How extra requests are scoped and priced.
- Support. What is covered after handover, for how long and at what cost.
- Ending. What happens to the accounts and documents if either side stops.
How to judge a consultant who has no long client list
A short client list is not a warning on its own, particularly in a young field. A consultant with no list should be able to show their thinking instead. Ask for these:
- A map of one of your own processes, done before you commit to a build.
- A plain explanation of what could go wrong and how they would find out.
- A named example of something they would refuse to automate for you.
- A willingness to start with a small, paid pilot.
Be wary of the opposite signals. Gartner said in 2025 that many vendors relabel chatbots and assistants as agents, and estimated that only about 130 of the thousands of agentic AI vendors are genuine. Apply the same scepticism to consultants who lead with the word agent.
What a consultant cannot do
A consultant cannot guarantee results, cannot fix a business process that does not work and should not give you legal advice on data protection. A good one will tell you where a lawyer is needed. For GDPR questions specific to your business, see a Cyprus lawyer or data protection adviser, and read our GDPR guide for Cyprus business websites for the basics.
Working with us
Sempor Labs is a studio in Limassol. We do not list prices because we quote in writing after seeing the job. If you want to test the fit cheaply, ask us to map one process first. Our AI automation service describes how we work, and you can contact us with a one-page description of the process.
Before you spend anything
Run the score sheet in when do you need an AI automation consultant. If it points towards help, compare what different suppliers offer using our guide to the AI automation agency market, and get at least two written quotes for the same single process.

Frequently asked questions
What does an AI consultant do for a small business?
They pick a process worth automating, map it, build or specify a pilot, test it with real examples and write the handover. A good one also explains risks, such as data protection and wrong answers, and tells you what to leave to people.
How much does an AI consultant for a small business cost?
Prices vary widely and there is no reliable standard figure, so ask for a written quote for one process. Compare it with the value of your own time and the hours the workflow should save, and ask for the tool fees to be listed separately.
How do I choose an AI consultant?
Ask them to map one of your processes on paper before you pay for a build, ask who owns the accounts, and ask what they would refuse to automate. A consultant who cannot name a bad idea is selling, not advising.
Which AI is best for small business owners?
A good consultant should answer this from your existing tools, not from habit. If you already use Google Workspace or Microsoft 365, the assistant built into it is usually the first thing to test. They should also tell you what it costs per user.
How can I use AI for my small business without a consultant?
Start with writing and summarizing tasks on a business plan, time them for two weeks, then automate one repeated job on a free plan. Bring in a consultant for a short review once the job touches customer data or several systems.
