AI for Small Business: Where to Start
You do not need a strategy, a consultant or a new platform to start. You need one repeated task, a business-grade tool and a rule about what never goes in.
Short answer
Start with the AI built into software you already pay for, such as Gemini in Google Workspace or Copilot in Microsoft 365, and try three tasks: summarizing threads, drafting replies and writing follow-ups. A paid assistant seat costs about USD 20 a month, so it breaks even at roughly one saved hour per person per month.
Which AI should a small business pick first?
Pick the AI that already sits inside the tools your team uses all day. That removes a login, a bill and a decision, and it keeps your data inside a vendor you already have a contract with.
| If your business runs on | Start here | Published price, checked November 2026 | Watch for |
|---|---|---|---|
| Google Workspace | Gemini inside Gmail, Docs and Meet | Business Starter EUR 6.80, Standard EUR 13.60, Plus EUR 21.10 per user a month on an annual commitment | Starter lists a limited Gemini in Gmail. Standard lists Gemini across Gmail, Docs and Meet |
| Microsoft 365 | Microsoft 365 Copilot Business, an add-on for existing Microsoft 365 Business plans | USD 21 a month per user paid yearly, or USD 18 for the first year on an annual commitment bought 1 July to 31 December 2026 | The page says prompts and responses are not used to train the underlying models |
| Neither | A business plan of Claude or ChatGPT | Claude Team standard seat USD 20 a month billed annually, USD 25 monthly, from 2 seats | Individual plans list training as opt-out, while Team lists none by default |
For comparison, ChatGPT's own pricing page showed individual plans at EUR 8 for Go, EUR 23 for Plus and from EUR 103 for Pro per month when we looked in November 2026. Those are personal accounts, so check the business tier before you put customer data in.
We have compared published prices and features only. We have not tested these products, and plans change often, so confirm on each vendor's page before you buy.
What does a paid assistant need to save to pay for itself?
About one hour a month per person. A seat costs roughly USD 20. If a person's time is worth EUR 20 an hour, one saved hour covers it. This is illustrative arithmetic, and you should use your own hourly figure.
For a five-person team on a USD 20 seat, that is USD 100 a month. If each person saves two hours a month, the saving is 5 x 2 x EUR 20 = EUR 200, so the net gain is about EUR 100 a month. If nobody saves an hour, you have bought an expensive habit. Run a one-month trial with two people and ask them to count minutes before you buy for everyone.
Three tasks to try this week
Do not build anything yet. Use a business-grade assistant on three jobs you already do, and time them.
- Summarize a long thread. Paste a 30-message email chain with customer details removed and ask for decisions made, open questions and who owes what. Check it against the thread.
- Draft replies from your own words. Paste your own written answers to common questions and ask for a reply to a new enquiry that uses only that material. If it adds anything you did not write, tighten the instruction.
- Turn notes into a follow-up. Paste rough notes from a call and ask for a short, plain email confirming what was agreed. Read it as the customer would.
Each one should take less time than writing from scratch, including your check. If checking takes as long as writing, drop that task and try another.
When to move from using AI to automating a job
Move when you catch yourself doing the same AI-assisted task every day. At that point the saving comes from removing the copy, paste and send steps, and that is automation, not assistance. Our practical guide to AI automation for business shows how to score a task, and what is workflow automation explains the plumbing.
Two jobs that small businesses commonly automate first are answering the phone and following up enquiries. Both have their own pages: AI receptionist for small business and how to automate lead follow-up.
What to keep out of general AI tools
Keep customer personal data out of free and personal accounts, and keep sensitive categories out of general tools completely. That means health details, legal matters, ID numbers and anything covered by a duty of confidentiality.
The rule behind this is GDPR Article 28. When a tool handles personal data on your behalf, you need a contract with it that limits what it can do with the data, and you must choose providers that offer sufficient guarantees. Business plans normally come with such a contract. Free accounts normally do not. Claude's pricing page lists model training as opt-out on its individual plans and none by default on Team and Enterprise, which is the kind of difference to look for in any vendor's terms.
Write a half-page rule for staff: which tools are approved, which data may go in, and who to ask. People use whatever is easiest if you give them nothing.
Using AI for marketing, and why your customers may never see your website first
Use AI to draft marketing, and edit it hard. It is good at options, outlines and summaries of customer reviews. It is poor at knowing what is true about your business, so every price, claim and date needs your check.
There is a second effect. In our October 2026 analysis, Google AI Overviews appeared on all 33 of the commercial and informational results pages we sampled. That is a small sample chosen around our own topics, so it shows direction rather than a market-wide rate. It does suggest that some customers meet an AI-written answer before they meet your site. Clear, specific, well-structured pages are more likely to be quoted. Our AI search optimization service covers that side, and our website cost guide for small businesses covers the website itself.
A 90-day plan
- Month 1. Try the three tasks on a business plan with two people. Count minutes. Write the data rule.
- Month 2. Keep the seats that saved time. Pick one repeated job from your log and build the smallest automated version with approval.
- Month 3. Review errors, drop what did not pay and decide whether a specialist is worth it. If you are unsure, read AI consultant for small business before you spend anything.

Frequently asked questions
How can I use AI for my small business?
Begin with writing and reading tasks that you already do: summarize long email threads, draft replies from your own FAQ, and turn call notes into a follow-up message. After a month, pick one repeated job and automate the dull part with a person approving the result.
Which AI is best for small business owners?
The one that fits tools you already use. Google Workspace users get Gemini inside Gmail and Docs, Microsoft 365 users can add Copilot, and everyone else can use a business plan of Claude or ChatGPT. Test two on the same task before paying for either.
How do I use AI for small business marketing?
Use it for first drafts, headline options, summaries of customer reviews and repurposing one article into several posts. Edit everything yourself, check every fact and never publish unreviewed output. It speeds up drafting but does not replace knowing your customers.
How much should a website cost for a small business?
It depends on pages, features and who builds it, so ask for itemized written quotes. Our website cost guides set out the typical ranges and what drives them, and they are a better starting point than any single figure.
Is it safe to put customer information into AI tools?
Not into free or personal accounts. Use a business plan whose terms say your data is not used for training, sign the vendor's data processing agreement, and keep sensitive categories such as health or legal details out of general tools altogether.
