Best WhatsApp Automation Tools

Five ways to automate WhatsApp, compared on what the vendors publish, with a worked monthly cost and a rule for choosing by volume and team size.

Updated 1 November 20266 min read

Short answer

For a one-person shop the free WhatsApp Business app is enough. For flows and reminders, Manychat starts at USD 14 a month on annual billing, Wati at EUR 59 and respond.io at USD 79 on the same basis, and Twilio charges USD 0.005 a message plus Meta's fee. Message fees are separate on most. Choose by volume, team size and who builds the flows.

What does each tool cost?

The tools charge in four different ways, which makes them hard to compare at a glance. This table uses only what each vendor's own pricing page showed in November 2026. We compared published prices and features and did not test the products.

Tool How it charges Entry price WhatsApp message fees
WhatsApp Business app Free app Free to download Not applicable, as you reply by hand
Manychat By active contacts Free for 25 contacts. Essential USD 14, Pro USD 29, Business USD 69, Advanced USD 139 a month billed annually (USD 17, 39, 99 and 199 on monthly billing) Not stated in the page text we read, so ask
Wati By plan and users Growth EUR 59, Pro EUR 119, Business EUR 279 a month, billed annually Charged on top, by Wati's rate card
respond.io By plan and users Starter USD 79, Growth USD 159, Advanced USD 279 a month, billed yearly Not included. You top up credit and Meta charges by usage
Twilio By message No subscription. USD 0.005 per message, inbound or outbound Meta's fees passed through on top

Details behind the table: Manychat's page shows 250, 2,500, 7,500 and 25,000 active contacts on its four paid plans, and charges for contacts beyond them. Wati's Growth plan includes 3 users, Pro and Business include 5, and extra users cost EUR 39 and EUR 89 on Pro and Business. respond.io lists monthly billing at USD 99, 199 and 349 for the same three plans, and its plans include 5, 10 and 10 users.

A worked example: 300 customers and 2,000 messages

This is illustrative arithmetic using the published figures. Suppose you have 300 customers on WhatsApp, send 1,500 utility reminders a month and receive 500 replies.

  • Business app. Free, but nothing is automated beyond a greeting and an away message, so you send the reminders by hand.
  • Manychat. The Essential plan covers 250 active contacts at USD 14 a month on annual billing. The page lists USD 0.082 per extra contact on annual billing, so 50 more is about USD 4, a total of about USD 18, before any Meta fees. Pro at USD 29 covers 2,500 contacts and may be the neater choice if you grow.
  • Wati. Growth at EUR 59, plus message charges from its rate card.
  • respond.io. Starter at USD 79, plus WhatsApp credit.
  • Twilio. 1,500 reminders at 0.005 + 0.0034 = USD 0.0084 each is USD 12.60, using the utility fee Twilio's page lists, which varies by country. The 500 replies at USD 0.005 are USD 2.50. The total is about USD 15, but you or a developer must build and host the flows.

The ranking by cash cost is not the ranking by total cost. Twilio is cheapest in fees and most expensive in your time. Use your own hourly rate to turn setup hours into money before you decide.

What does the small print say about each tool?

The headline price is rarely the whole bill, so read the limits. Each point below comes from the vendor's own page in November 2026.

  • Manychat. The Free and Essential plans connect up to 2 channels and Pro connects 3, while Business and Advanced connect all eligible channels. Free carries Manychat branding. Contacts above your plan are charged at USD 0.10 each on Essential, USD 0.05 on Pro, USD 0.025 on Business and USD 0.004 on Advanced, on monthly billing.
  • Wati. Growth includes 3 users and does not allow more. Pro and Business include 5, with extra users at EUR 39 and EUR 89 a month. Its page says message charges vary by category and by the recipient's country code.
  • respond.io. Extra users cost USD 12 a month on Starter, USD 20 on Growth and USD 24 on Advanced. WhatsApp fees are paid from credit you top up, separately from the subscription.
  • Twilio. Failed messages cost USD 0.001 each. Its optional engagement add-on for link tracking and scheduling is USD 0.015 a message with the first 1,000 a month free, and WhatsApp calling is USD 0.005 a minute plus a Meta connectivity fee that varies by country.
  • WhatsApp Business app. It offers greeting and away replies, but it is a manual tool. Nothing in it reads a message and decides what to do.

Add those extras to the worked example before you compare totals. A team that needs a fourth user on Wati Growth cannot buy one and must move up a plan.

Which tool suits which situation?

Choose by the situation, not the feature list. These are our decision rules, not vendor claims.

Your situation Choose Why
One person, greeting and away replies are enough WhatsApp Business app Free and nothing to maintain
A few hundred contacts, social-first, Instagram and WhatsApp together Manychat Priced by contacts, low entry price, automation builder and templates on every plan
Two to five people sharing one inbox and sending reminders Wati or respond.io Team inbox and plans built around users
Several channels and a bigger team, with routing rules respond.io Plans include 5 to 10 users, and its page positions it for multi-channel teams
A developer or agency building custom flows into your own systems Twilio You pay per message and build exactly what you need

What do all of them share?

Every tool sits on Meta's rules, so none of them can make non-compliant messaging compliant. The WhatsApp Business Messaging Policy requires that you contact only people who gave you their number and opted in, use approved templates outside the 24-hour window, honour opt-outs and give automated replies a clear route to a person. Our guide to WhatsApp automation for business goes through them with the cost model.

On AI features, since 15 January 2026 Meta's Terms for WhatsApp Business Platform bar AI providers when AI is the primary, not the ancillary, thing on offer, as Meta decides. Meta told TechCrunch businesses using AI for their own customers are not affected. On 9 June 2026 the European Commission ordered Meta to restore free access for rival general-purpose AI assistants until its antitrust case ends, so check the current position. Ask each vendor in writing how its AI replies comply with the current terms.

Questions to ask each vendor

  • Are Meta's message fees included, passed through at cost or marked up?
  • What counts as an active contact or a user, and what happens above the limit?
  • Will you sign a data processing agreement, and where are messages stored?
  • How do I export my contacts and conversations if I leave?
  • How are opt-outs captured and enforced across flows?
  • Can a person take over a conversation with one click?

Data protection, briefly

Your provider and Meta both handle personal data on your behalf, so you need a contract with the provider and a privacy notice that tells customers. Keep proof of when and how each person opted in. This is general information, not legal advice. Our GDPR guide for Cyprus business websites covers the notice side.

Where to go next

Start free with the Business app for a month and count how many messages you answer by hand. If it is more than about 20 a day, which is our own rule of thumb, or you need reminders, trial one paid tool for a month. Frequently asked questions

What is the best WhatsApp automation tool for a small business?

It depends on volume and who builds the flows. The free Business app suits one person with simple needs. Manychat suits social-first businesses, Wati and respond.io suit teams sharing an inbox, and Twilio suits developers building custom flows.

Is there a free WhatsApp automation tool?

The WhatsApp Business app offers greeting and away replies, and its App Store listing shows it as free to download. Manychat also lists a free plan for 25 active contacts, with its branding. Anything beyond that, such as bots and reminders, usually costs money.

How do I make WhatsApp automation work with my CRM?

Choose a provider with a CRM integration or use an automation platform such as Zapier or Make to pass contacts and messages between them. Check that the provider signs a data processing agreement, and test opt-out handling before you go live.

Do these tools include Meta's message fees?

Usually not. respond.io says WhatsApp fees are not included in any subscription, Wati says additional message charges apply, and Twilio passes Meta's fees through on top of its own USD 0.005 per message.

Which WhatsApp automation tool is cheapest at low volume?

For a few hundred contacts, the free Business app costs nothing and Manychat's Essential plan starts at USD 14 a month on annual billing. Twilio can be cheaper still on messages but needs someone to build the flows, so your time becomes the main cost.
