Best AI Tools for Small Business

A shortlist built from vendors' own pricing pages, grouped by the job you want done, with decision rules and a budget for a one-person firm and a five-person team.

Short answer

For most small businesses the best AI tool is the assistant built into software they already pay for, such as Gemini in Google Workspace from EUR 6.80 a user or Copilot in Microsoft 365 at USD 21. Add Zapier or Make for automation and a CRM with workflows. A five-person stack costs roughly EUR 245 a month on published prices.

How did we compare them?

We compared published prices and features only. We did not test any of these products. Every price below was read on the vendor's own pricing page in November 2026, in the currency and billing basis the page showed. Plans change often, so confirm before you buy.

We left out tools whose pricing we could not read from the vendor's own page, and categories such as design, video and note-taking, which we did not check. This is a shortlist for operations, communication and sales, not a catalogue.

Which tool should you pick? Decision rules

Choose by the job and by what you already own. These rules cover most small businesses:

  • Choose the assistant inside your office suite if your team lives in Google Workspace or Microsoft 365. It adds no new login and no new vendor.
  • Choose a standalone assistant such as Claude or ChatGPT if you are on neither suite, or if one person needs heavier use than the suite allows.
  • Choose Zapier if you want the shortest path from idea to working automation and do not mind per-task pricing.
  • Choose Make or n8n if your workflows have branches and many steps, and cost per step matters.
  • Choose a CRM with workflows before any lead-generation tool. Everything else needs somewhere to put the contact.
  • Choose a phone or chat agent only after you have measured how many calls or chats you lose.

Assistants: the tools you talk to

These are for writing, summarizing and analyzing. All figures are per user per month as published in November 2026.

Tool Published price Notes from the vendor's page
Google Workspace with Gemini Business Starter EUR 6.80, Standard EUR 13.60, Plus EUR 21.10, annual commitment Starter lists a limited Gemini in Gmail. Standard lists Gemini across Gmail, Docs and Meet
Microsoft 365 Copilot Business An add-on for existing Microsoft 365 Business plans: USD 21 a month per user paid yearly, or USD 18 for the first year on an annual commitment bought 1 July to 31 December 2026 Page says prompts and responses are not used to train the underlying models
Claude Team Standard seat USD 20 billed annually, USD 25 monthly. Minimum 2 seats Training listed as none by default. Individual Pro is USD 17 annually or USD 20 monthly, with training opt-out
ChatGPT individual plans Go EUR 8, Plus EUR 23, Pro from EUR 103 Personal plans
ChatGPT Business Standard seat EUR 21 a month billed annually, EUR 26 monthly; Premium seat EUR 105 annually, EUR 130 monthly Teams of 2 to 200

If you pick one assistant for a small team, start with the one inside your suite. The saving from a standalone tool has to beat the cost of another vendor to manage. Our guide to AI for small business explains the break-even of about one saved hour per person per month.

Automation platforms: the tools that do the work

These connect your other tools and run workflows. We compare them at length in n8n vs Zapier vs Make for small business. In brief:

Tool Entry paid price Counts usage by
Zapier Professional USD 19.99 a month billed annually, 750 tasks Successful steps, not triggers
Make Core USD 9 a month at 10,000 credits, annual billing view Actions performed, usually 1 credit each
n8n Cloud Starter EUR 20 a month billed annually, 2,500 executions Whole workflow runs

Customer-facing agents: chat, phone and WhatsApp

Buy these last, after you have measured the problem. Prices from vendors' pages:

Job Tool Published price
Website chat with AI Tidio Free plan with 50 billable conversations. Lyro AI add-on from USD 32.50 a month for 50 conversations
Phone answering Goodcall From USD 79 a month for 100 unique customers
Support chat agent Intercom Fin USD 0.99 per outcome, plus helpdesk seats from USD 29 a month billed annually (USD 19 for new customers on Intercom's current offer)
WhatsApp flows Manychat Free for 25 active contacts, then USD 14, 29, 69 and 139 a month billed annually (USD 17, 39, 99 and 199 on monthly billing)

For the phone and chat options, our guides to the AI receptionist and adding an AI chatbot to your website work through the maths. For WhatsApp, see best WhatsApp automation tools.

CRMs with workflows

A CRM is where leads live and follow-up starts. HubSpot's page lists a free CRM for up to two users. Pipedrive lists Lite at EUR 14, Growth at EUR 39, Premium at EUR 59 and Ultimate at EUR 79 per seat per month billed annually, and puts automations and nurturing sequences on Growth. Zoho's page says its CRM is free for three users and lists workflows on its plans, though the page did not show paid prices in the text we could read.

What do the free tiers give you?

Free tiers are good for proving an idea and poor for running a business. The limits, as published:

Tool Free tier
Zapier 100 tasks a month, two-step workflows only
Make 1,000 credits a month
Tidio 50 billable conversations, 50 Lyro AI conversations in total
Manychat 25 active contacts, 2 channels, Manychat branding
HubSpot Free CRM for up to 2 users
Zoho CRM Free for 3 users
n8n Self-hosted Community edition, with you running the server

Two budgets, with the arithmetic

These are illustrative, built only from published prices. Currencies are added at face value, which is rough.

Solo owner. Google Workspace Business Starter at EUR 6.80, plus free tiers of Zapier and Tidio. Total about EUR 7 a month. Use it to find out whether you will actually use the tools.

Five-person service business. Google Workspace Standard for five users is 5 x 13.60 = EUR 68. Zapier Professional is about USD 20. Pipedrive Growth for two sales seats is 2 x 39 = EUR 78. Goodcall Starter is USD 79. The total is 68 + 20 + 78 + 79 = about 245 a month, or about 49 per person. At EUR 20 an hour of staff time, that stack pays for itself if it saves about 12 hours a month across the team, which is under 2.5 hours per person. Whether it does is for you to measure.

What to check before you put customer data in any of them

Check three things. First, whether the plan is a business plan whose terms limit use of your data, since individual plans often differ. Claude's page lists no training by default on Team and Enterprise, and Microsoft's Copilot page says prompts and responses are not used to train its models. Second, whether the vendor offers a data processing agreement, which GDPR Article 28 requires when it handles personal data for you. Third, where data is stored and for how long. This is general information, not legal advice.

Your next step

Pick the job that costs you the most hours, choose from the table above, and use a free tier or a one-month trial. If you want help choosing or connecting tools, see our AI automation service. We quote in writing.

Frequently asked questions

Which AI is best for small business owners?

The one that fits tools you already use. Google Workspace and Microsoft 365 customers can add Gemini or Copilot inside the apps they work in. Others can use a business plan of Claude or ChatGPT. Try two on the same real task before paying.

What are the best free AI tools for small business?

Free plans worth testing include Zapier's Free plan with 100 tasks, Make's with 1,000 credits, Tidio's with 50 conversations, HubSpot's free CRM for two users and Zoho CRM's free plan for three. They are limited, so use them to prove an idea first.

How can I use AI for my small business marketing?

Use an assistant for first drafts, subject lines, summaries of customer reviews and repurposing one piece of content. Add a CRM with workflows to follow up leads. Edit all output yourself and check every claim before publishing.

How much should I budget for AI tools?

A solo owner can start for under EUR 10 a month using free tiers. A five-person team using a workspace assistant, an automation plan, a CRM and a phone agent comes to roughly EUR 245 a month on published prices, before setup time.

Is it safe to put customer data into these tools?

Only on business plans whose terms limit how your data is used, with a data processing agreement in place. Claude's pricing page lists no training by default on Team and Enterprise, and Microsoft says Copilot prompts are not used to train its models.
