Marketing Automation With Your CRM
Your CRM already knows who your contacts are and what stage they are at. Marketing automation lets that knowledge trigger the next message or task, if the data and the consent are in order.
Short answer
Marketing automation with a CRM means the CRM triggers messages and tasks when a contact's status changes, such as a quote sent or a job completed. Check the plan first: Pipedrive puts automations on Growth at EUR 39 a seat, while HubSpot's Sales Hub Starter lists up to 50 workflows. Clean data and recorded consent come before any sequence.
Which CRM plans include automation?
Automation is usually on the middle plans, not the cheapest, and the limits differ by vendor. Check this before you design anything. The details below come from each vendor's own pricing page in November 2026, and we compared published information without trying the products.
| CRM | What the page says about automation |
|---|---|
| Pipedrive | Lite at EUR 14 per seat per month billed annually has no automation listed. Growth at EUR 39 adds automations and nurturing sequences, with full email sync and tracking. Premium at EUR 59 adds lead routing and scoring. Ultimate is EUR 79 |
| HubSpot | Free CRM for up to 2 users. Marketing Hub email automation lists 1 automated action on Free and up to 10 on Starter. Sales Hub Starter lists up to 50 workflows with restricted triggers and actions. Starter offers are limited-time for new customers, with a regular price of USD 20 a seat |
| Zoho CRM | Free for 3 users, and the page lists workflows on the free plan and Standard. It did not show paid prices in the text we could read |
For a two-person sales team on Pipedrive Growth, the cost is 2 x 39 = EUR 78 a month, or EUR 936 a year. That is the number to weigh against the follow-up you expect to rescue.
Do you need marketing automation or just a CRM?
If you handle fewer than about 200 new contacts a month, a CRM with reminders, templates and one or two workflows is probably enough. This is our rule of thumb, not a published threshold. More sophisticated segmentation and campaigns earn their cost when you have thousands of contacts, several products and a person who owns the programme. Below that, the usual failure is buying a large platform and using three features.
Five automations that earn their keep
Build these in order. Each is triggered by something your CRM already knows.
| Trigger | Action | Person stays in charge of |
|---|---|---|
| New enquiry created | Assign an owner, send an acknowledgement, create a call-back task | The first real reply |
| Deal moves to Proposal sent | Create a task to follow up in three days, send a reminder if no reply in five | Any pricing discussion |
| Deal marked won | Send a welcome message, create onboarding tasks, start the review request timer | The handover itself |
| Job completed | Ask for a review after a day, with one link | Replying to a poor review |
| No contact for twelve months | Add to a short win-back sequence, but only for contacts with recorded consent | Anyone who replies |
Our guide on how to automate lead follow-up covers the first row in detail. For the review request, see how to get more Google reviews.
A worked example: a win-back sequence
This is illustrative, with invented volumes. A business has 800 past customers in its CRM.
- Contacts with a recorded marketing consent: 60%, so 480.
- A three-message sequence over three weeks costs nothing extra on a plan that already has automations, and about 2 hours to write and set up, which is EUR 40 at EUR 20 an hour.
- If 3% reply, that is about 14 people. If 1 in 4 books a job worth EUR 150 at a 40% margin, that is 3 or 4 jobs and about EUR 180 to 240 in profit.
The sum is small, and it is repeatable, which is the point. The part that matters is the 60%: the 320 contacts without recorded consent are the ones you must not email.
Clean the data first
An automation acts on whatever the CRM holds, so bad data produces bad messages at scale. Before you build anything, check:
- Duplicates. One person with two records will get two sequences.
- Source. Every contact should show where they came from.
- Consent. A field for whether they agreed to marketing, when and how.
- Owner. Every contact has a person responsible.
- Stage. Stages mean the same thing to everyone, with a definition written down.
- Bounced and unsubscribed contacts are flagged so no sequence can reach them.
Consent and the rules
Marketing messages need a lawful route to send, and automation does not change that. This is general information, not legal advice. A guide from Chambers and Co on SMS and email marketing under Cyprus law says marketing by email or SMS generally requires prior consent, that the consent must be freely given, specific, informed and unambiguous with no pre-ticked boxes, and that you must be able to prove it. It says a narrow exception exists for existing customers where the contact details came from a sale, the messages promote similar products and a free opt-out was offered at collection and in every message. It cites Law 112(I)/2004 for the electronic communications rules.
In practice: record consent in the CRM, include an unsubscribe in every marketing email, honour opt-outs at once and keep promotional and service messages separate. If your CRM and email tool handle personal data for you, GDPR Article 28 requires a contract with each. Our guide to GDPR for Cyprus business websites covers notices and cookies.
What breaks
- Sequences that collide. A contact in a win-back flow also gets a new-enquiry sequence. Add a rule that pauses one when another starts.
- No stop rule. The sequence continues after a reply or a booking. Stop on any reply.
- Wrong segment. A filter is built on a field that is half empty. Test with a small list first and read every message.
- Over-clever scoring. A lead score based on guesses is noise. Start with simple rules, such as source and stage.
- Nobody reads the results. Review sends, opens and replies monthly, and switch off what does not earn its place.
What to do next
Look at the plan you are on and list what it allows. Clean 100 contacts as a test, build the first row of the table, and run it for a month. Frequently asked questions
What is marketing automation with a CRM?
It means your CRM sends messages or creates tasks automatically when something changes for a contact, such as a form submission, a stage change or a date passing. The CRM holds the data and the automation acts on it, so follow-up stops depending on memory.
Which CRM has marketing automation built in?
Several do. Pipedrive lists automations and nurturing sequences on its Growth plan, HubSpot lists workflows on Sales Hub Starter and limited email automation in Marketing Hub, and Zoho CRM lists workflows even on its free plan for three users. Check what each plan limits.
Do I need a separate marketing automation platform?
Often not at first. A CRM with workflows covers acknowledgements, reminders and simple sequences. A separate platform makes sense when you send large email campaigns, need complex segmentation or have many thousands of contacts. Start with the CRM you own.
Do I need consent to send automated marketing emails in Cyprus?
Generally yes. A Cyprus guide from Chambers and Co says marketing by email or SMS usually requires prior consent under Law 112(I)/2004, with a narrow exception for existing customers. Record when and how each person agreed, and include an easy way to opt out.
How do I connect my CRM to other tools for automation?
Use the CRM's own integrations first. If you need more, an automation platform such as Zapier or Make can pass contacts and events between the CRM and your forms, calendar or messaging tools. Check each vendor's data processing agreement.
